A.I. Technology Group Co., Ltd., consisting of A.I. Technology Co., Ltd., Tokai Gauge Technology Co., Ltd., A.I. Foundry & Manufacturing Co., Ltd., and AI Innovative Plus Co., Ltd. (hereinafter referred to as “we”) respects the privacy rights of our customers, including individuals who operate on behalf of customers who are legal entities (hereinafter referred to as “Processing”). To ensure that your personal data is protected, we have created this Privacy Policy to inform you about the details related to the collection, use, and disclosure (collectively referred to as “Processing”), including the deletion and destruction of your personal data through both online and other channels as required by applicable personal data protection laws.
1. Purposes of Personal Data Processing
1.1 To process requests from members prior to entering into a contract or to fulfill a contract to which the member is a party with us, such as creating a member registry, verifying identity and validating the accuracy of information provided by members, creating user accounts, authenticating system access, complying with our regulations, tracking and notifying benefits, or matters related to funds under our management.
1.2 To comply with the Provident Fund laws, as well as regulations, announcements, and orders issued by authorized legal entities, including compliance with other relevant laws concerning the fund.
1.3 For the legitimate interests of our organization or other individuals, such as fund management, organizing fund-related activities, financial and budget administration, internal communications, external communications, registry operations, delegation of authority, issuance of certificates, preparation of public documents, report generation, submission of information to government or regulatory agencies, access to information systems, and handling complaints, fraud investigations, legal cases, or disputes.
1.4 To prevent and mitigate harm to the life, body, or health of employees or other individuals, such as emergency contact and the control and prevention of communicable diseases.
1.5 To perform duties in carrying out our mission for the public benefit or to fulfill responsibilities under the authority granted to us by the state.
1.6 To achieve the purposes for which consent has been given by the member on each occasion.
2. Personal Data Collected
2.1 Information for creating a member registry, such as name, surname, date of birth, age, length of service, salary rate, and other employment-related information necessary for membership.
2.2 Contact information of members, such as address, phone number, and email.
2.3 Information for managing the member’s fund account, such as contribution rates and investment policy choices.
2.4 Information about beneficiaries, such as name, surname, relationship, and phone number. Prior to providing such information to us, members must inform the individuals concerned of this Privacy Policy.
2.5 Information required for reporting to regulatory authorities, such as the Securities and Exchange Commission (SEC).
2.6 Financial information, such as bank account details, and information required for compliance with tax laws.
2.7 Usage and access information for information systems, computers, systems, websites, applications, networks, electronic devices, and email systems, to ensure compliance with our information technology policy and relevant laws.
2.8 Information that employees choose to share and disclose through our systems, applications, tools, surveys, assessments, and various documents.
2.9 Information collected from engagement with us, such as participation in meetings, events, surveys, assessments, as well as photographs and videos.
2.10 Copies of documents that can be used to identify employees, such as identification cards, passports, other documents issued by government authorities, and household registration records.
2.11 Other information necessary to fulfill our contract and regulations, and to comply with various laws.
If the member refuses to provide the personal data required to comply with laws, contracts, or to enter into a contract with us, it may prevent the proper performance of the contract and the member’s ability to access the services we provide.
3. Special categories of personal data
3.1 We may need to collect and process special categories of personal data of members for purposes as stated in this Privacy Policy.
3.2 We may need to process biometric data of members, which is a special category of personal data, such as fingerprint data or facial recognition data, for the purpose of identifying and authenticating members, preventing crimes, and safeguarding our legitimate interests or those of others.
3.3 Where necessary, we will process special categories of personal data of members only with their explicit consent or for other purposes as prescribed by law. We will make our best efforts to implement adequate security measures to protect and safeguard the special categories of personal data of members.

6. Retention Period of Personal Data
6.1 We will retain personal data of members for as long as necessary to fulfill the purposes associated with each type of personal data. This retention period may be extended if required by applicable laws. In cases where the retention period for personal data cannot be clearly determined, we will retain the data for a reasonable period based on standard data retention practices (e.g., the maximum statutory period of 10 years under general law).
6.2 We will retain members’ personal data for the duration of their membership to fulfill our contractual obligations and regulations. The data will be kept for as long as necessary, but not exceeding 10 years from the date the membership ends.
6.3 We retain personal data of members’ beneficiaries for the necessary period to fulfill the purposes outlined in this Privacy Policy.
6.4 If we process members’ personal data based on their consent, we will continue to process the data until the member withdraws their consent, and we complete the requested actions. However, we will retain the personal data as necessary to keep a record of the withdrawal, allowing us to respond to future requests from the member.
6.5 We have implemented a system to monitor and ensure the deletion or destruction of personal data once the retention period has expired, or when the data is no longer relevant or necessary for the purposes for which it was collected.
7. Disclosure of Personal Data to Third Parties
7.1 We disclose and share personal data of members with
(1) A.I. Technology Group includes the following companies: A.I. Technology Co., Ltd., Tokai Gauge Technology Co., Ltd., A.I. Foundry & Manufacturing Co., Ltd., and AI Innovative Plus Co., Ltd.
(2) Other individuals and legal entities (“Others”) to achieve the purposes of collecting and processing personal data as specified in this privacy policy. This may include fund management companies assigned to manage the fund, registry agents who oversee and manage member data, information technology service providers, financial institutions, government agencies, and other entities necessary for us to carry out the objectives outlined in this privacy policy.
7.2 We will ensure that recipients of the information implement appropriate measures to protect the members’ data and process the personal data only to the extent necessary. We will also take actions to prevent the unauthorized use or disclosure of personal data.
8. Here are the security measures for personal data protection
8.1 The security of members’ personal data is important to us, and we have implemented appropriate technical and administrative security standards to protect personal data from loss, unauthorized access, use, or disclosure, misuse, alteration, and destruction. We use security technologies and procedures such as encryption and access control to ensure that only authorized individuals have access to members’ personal data, and those individuals are trained on the importance of protecting personal data.
8.2 We have established appropriate security measures, including administrative safeguards, technical safeguards, and physical safeguards, to prevent the loss, access, use, modification, alteration, or disclosure of personal data by unauthorized persons. These measures include access control, user access management, and regular reviews of these measures when necessary or when technology changes, to ensure effective and appropriate security protection.
9. Rights Regarding Members’ Personal Data
9.1 Members’ Rights Under Personal Data Protection Law
- Withdraw consent given to us for processing members’ personal data.
- Request to view and copy personal data or ask for the source of personal data.
- Transfer or send personal data in electronic form, as stipulated by the personal data protection law, to another data controller.
- Object to the collection, use, or disclosure of personal data relating to members.
- Request to delete, destroy, or anonymize personal data so that members can no longer be identified.
- Suspend the use of members’ personal data.
- Correct personal data to ensure it is accurate, up-to-date, complete, and not misleading.
- File a complaint with the Personal Data Protection Committee if we or our data processors, including employees or contractors, violate or fail to comply with the personal data protection law.
We will review and notify the outcome of the request for exercising members’ rights promptly within 30 days of receiving the request. The rights mentioned above are in accordance with the personal data protection law.
